  2. Regulatory DoC per SKU: FDA 21 CFR and/or EU 10/2011 for every specific product you order — not just a company-level statement.
  3. Third-party audit history: SGS, Bureau Veritas, or customer audit reports from within the last 12 months.
  4. Production capacity: Can they handle peak-season volume without subcontracting to unknown facilities?
  5. MOQ alignment: A supplier quoting 50,000 MOQ when your annual volume is 20,000 means you're not a fit.
  6. Sampling speed: Custom samples should take 7–10 working days, not 4 weeks. Test this during evaluation.
  7. QC protocol detail: What AQL level? What specific tests? Ask for a sample QC report from a recent production run.
  8. On-time delivery rate: Last 12 months' data. Below 95% requires a credible explanation.
  9. Communication quality: Dedicated English-speaking account manager? Test response time during the inquiry phase.
  10. Export documentation: CO, Form A, Fumigation Certificate, and any destination-specific requirements.
  11. Sustainability credentials: FSC, GRS, EN 13432 — the specific certifications your target market requires.
  12. Financial stability: Years in business. Trade references from clients in your region.

Import Logistics — FOB, CIF, DDP Explained

FOB Qingdao: supplier handles production, export clearance, delivery to port. You handle ocean freight, insurance, destination clearance, duties. Best for experienced importers — maximum cost control. CIF [Port]: supplier adds freight and insurance to your destination port. You handle destination clearance, duties, inland delivery. Best for first-time importers. DDP [Door]: supplier handles everything including duties — door-to-door. Best for small-volume, Amazon FBA, maximum simplicity. Sea freight transit from Qingdao: EU 28–32 days, US West 18–22, US East 30–35, Middle East 20–25, SE Asia 7–12, Australia 18–22, Latin America 35–40.

Payment Terms & MOQ Negotiation

T/T 30/70: 30% deposit to initiate production, 70% before shipment — industry standard for first orders. L/C at sight: available for orders over $50,000 — bank-intermediated buyer protection, typically adds 1–2% to total cost. MOQ negotiation reality: most suppliers quote with 15–20% conservative buffer. Negotiate 20–30% lower MOQ for first orders by accepting slightly higher unit pricing (+5–8%) or extended lead times (+5–10 working days). Tooling amortization: spread the one-time tooling investment across your first 2–3 production orders. Fully credited on cumulative orders exceeding $100,000.

Red Flags — When to Walk Away

  • No ISO 22000 / BRC / FSSC 22000 certification — for food-contact, this is non-negotiable
  • Refuses per-SKU FDA or EU 10/2011 Declaration of Compliance
  • No recent third-party audit report — "trust us" is not a quality system
  • "We can make anything" — signals a trading company, not a factory
  • Prices 30%+ below market average — food-contact-grade materials cost money
  • No physical factory address or refuses factory visits — legitimate manufacturers welcome audits
  • Requests 100% payment upfront — standard is 30/70 or L/C
  • No dedicated English-speaking account manager for export orders
